Position Overview
As a Bid Administrator, you will be responsible for supporting the bidding process and ensuring the smooth coordination of bid activities within the organization. You will work closely with the bid team and various stakeholders to compile, organize, and submit bid proposals, contributing to the organization's success in securing new business opportunities.
Responsibilities
Assist in the preparation, organisation, and submission of bids and proposals in a timely and accurate manner.
Coordinate bid activities, including bid document creation, formatting, and distribution.
Collaborate with cross-functional teams to gather relevant information and ensure all bid requirements are met.
Maintain bid documentation, including tracking versions, revisions, and updates.
Conduct research and gather market intelligence to support bid strategy development.
Assist in the coordination of bid review meetings, ensuring appropriate stakeholders are involved.
Communicate with vendors, subcontractors, and internal teams to obtain necessary bid-related information.
Support the bid team in compiling and analyzing data for bid performance reporting.
Knowledge, Skills & Attributes
Strong organisational and project management skills to handle multiple bids concurrently.
Attention to detail and ability to work with complex bid documentation.
Proficiency in using Microsoft Office Suite, including Word, Excel, and PowerPoint.
Excellent written and verbal communication skills to articulate bid requirements and respond to inquiries.
Ability to work under tight deadlines and handle pressure in a fast-paced bidding environment.
Familiarity with bid processes and procedures.
Analytical mindset to review and interpret bid requirements accurately.
Strong interpersonal skills and ability to collaborate effectively with cross-functional teams.
Qualifications
Bachelor's degree in business administration, marketing, or a related field (or equivalent work experience).
Previous experience in bid administration, proposal coordination, or a similar role is preferred.
Knowledge of bid processes, regulations, and best practices.
Proficient in using Microsoft Office Suite and bid management software.
Excellent organizational and time management skills.
Strong written and verbal communication skills.
